Configuring Microsoft Outlook 2003 for Wharton’s Student Exchange Server

Wharton supports Outlook as its e-mail system for all new students. The Outlook application allows you to store your e-mail, personal calendar, and contacts on Wharton’s servers so they are available to you from anywhere.

This document describes how to configure Microsoft Office 2003 for use with your Wharton e-mail account. It contains the following sections:

Before You Get StartedIn order to successfully run Office 2003 on your computer, you must be running Windows XP Professional Service Pack 2 or higher. There are other system requirements including memory and hard drive space that should be verified before you attempt to run the office package on your machine. To check that your system is capable of running Office 2003, please see Microsoft’s Knowledge Base article System Requirements for Office 2003.

These instructions assume that Microsoft Office 2003 is already installed on your system and you already have Internet access up and running. See the document “Connecting to the Internet” if you are not set up for Internet access.

NOTE: Have your Microsoft Office CD at hand. You may need to install additional components of Microsoft Outlook to complete the installation.

If you have ever configured a Microsoft Exchange Account in Outlook on your computer (in a networked or corporate environment at an internship or with your company, for example), you should check with Wharton Computer Consultants at http://spike.wharton.upenn.edu/consult before you attempt to set up your account.

If You Experience DifficultyIf you don’t currently have Microsoft Outlook 2003 (it’s included with Microsoft Office 2003), or if you encounter difficulties getting it installed or configured, don’t panic. You can use Wharton’s WebMail interface until you get these issues resolved.

If your Outlook client which was previously configured for Wharton mail is not working, you may need to reconfigure your mail client due to the recent Exchange environment upgrades. Please see http://spike.wharton.upenn.edu/consult/email/outlook_2003_reconfig.cfm for instructions.

Setting Up a New Outlook InstallationConnect to the Internet if you have not already done so, and launch Outlook. If Outlook displays the Outlook 2003 Startup screen the first time it’s launched, configuring Outlook is fairly straightforward. You’ll see a slightly different sequence of screens based on what programs you have installed, but you should be able to follow the steps below, skipping over any that don’t apply to you.

  • From the Startup screen, click the Next button to begin. (If this does not happen, in Control Panel, double-click the Mail icon, and click the Email Accounts button.)
  • If you are asked whether you want to set up an email account, select Yes and click Next.
    Or, if you double-clicked Mail, then you can select Add a new e-mail account and click the Next button.
  • Select Microsoft Exchange Server and click the Next button.
  • Uncheck the Cached Exchange Mode box.
    Note: The Cached Exchange mode allows you to work offline automatically. Unchecking this option requires you to be connected to the Internet to work with Outlook but provides improved Outlook performance. You can, however, manually set up offline folders by selecting File -> Work Offline.
  • For Microsoft Exchange Server enter the following information:MBA/Evening Students:

    franklin.wharton.upenn.edu

    Undergraduate Students:

    logan.wharton.upenn.edu

    For username,insert your Wharton username.

  • Click the More Settings button.
  • Note: At this point you may receive the following error message. If you receive this error message click Ok.
    The name could not be resolved. The connection to the Microsoft Exchange Server is unavailable. Outlook must be online or connected to complete this action.

  • You may see a logon box that has your Microsoft Exchange server information and Wharton username.Hit the Cancel button.
  • Select the Connection tab.
  • Select the checkbox that says Connect to my Exchange Mailbox using HTTP.
  • Click the Exchange Proxy Settings button.
  • Under Connection Settings enter the Exchange proxy server URL as webmail.wharton.upenn.edu.
  • Select the checkbox against the field On fast networks, connect using HTTP first, then connect using TCP/IP
  • Click the OK button.
  • If you click on Check Name at this point, you may see a login box asking for your Wharton username and password.
    • Username: Enter WHARTON\yourwhartonusername(for example, WHARTON\josephw).
    • Password: Enter your Wharton password.
    • Select OK. Within a few minutes, you should see the Exchange server and your name underlined. This may take a few minutes.
  • Click the Next button.
  • Click Finish to close the Final screen of the Inbox Setup Wizard.

Note: Once you complete this, you will need to change the location of where your email is being delivered. If emails are delivered to your Outlook Personal folders, you will no longer be able to see them in Webmail since they will be taken off the server. To ensure that this does not happen, please go through the steps listed below:

  • From the Tools menu, select E-Mail Accounts.
  • Choose View or Change Existing Email Accounts then click the Next button.
  • Click the down arrow in the drop down box titled Deliver New Email to the Following Location: and select Mailbox-your lastname,firstname then click Finish to close the Email Accounts Dialog Box.

After this has been changed, you should either see Outlook’s Exchange Server Enter Password prompt, or you may be asked to log in again.

Logging on to Wharton’s Exchange Servers

  • If you are not already connected to the Internet, do so and launch Outlook.
  • Outlook will prompt you to log on to the application. The Outlook Enter Password window will appear.
    • For User Name enter WHARTON\yourusername.
    • For Password enter your Wharton password.
    • Click OK.

    Note: If everything goes correctly, Outlook will connect to your mailbox. This may take several minutes — please be patient.

  • To test the set-up, send yourself a quick e-mail as follows:
    • Click the New Mail icon in the toolbar or, from the File menu, select New and then Mail Message.
    • In the To: field enter your wharton username followed by @wharton.upenn.edu, or enter your Wharton lifelong e-mail address.
    • In the Subject field Enter Greetings from Wharton.
    • In the main body field enter Welcome to the Wharton School (or anything else you’d like).
    • Click the Send button.

    Your e-mail should arrive in a few moments. To read your e-mail, click on the Inbox icon in the Outlook Shortcuts toolbar if your Inbox is not currently displayed, then double-click on the subject line.

Checking Your Email PropertiesIf you experience difficulty, check your Outlook settings.

  • From the Tools menu select Options.
  • From the Options window select the Mail Setup tab.
  • Click the Email Accounts Button.
  • Under Email, ensure that the View and Change Existing Email Accounts field is selected, and click the Next button.
  • Select Microsoft Exchange Server, and click the Change button.
  • Ensure that the Microsoft Exchange Server field says FRANKLIN (if you’re an MBA or Evening student) or LOGAN (if you’re an Undergraduate student).
  • Ensure that your account name is accurate: Lastname, Firstname.
    Note: If it is not, enter your account name and click the Check Name button. Your name will become underlined once it is authenticated.
  • Click Cancel.
  • Click on the Next button.
  • Click on the Finish button.
